Optimized Knowledge Transfer: How AI Is Transforming Our Daily Consulting Work

Consultants typically spend a significant portion of their time researching and compiling information for client projects and preparing proposals. For this reason, the internal transfer of knowledge and data is a top priority at KBC and plays a key role in ensuring the quality of our consulting services. The continuous exchange of knowledge among employees is actively practiced as part of our corporate culture. This particular strength of KBC is now being further enhanced through the use of AI-powered knowledge management.

Building and maintaining a manual knowledge base was the first step toward making the time-consuming and labor-intensive process of searching for, collecting, and organizing information more efficient. However, due in part to technical limitations, it was not possible to capture and incorporate all of KBC’s existing knowledge.

We were therefore looking for a secure, company-wide knowledge management solution that requires minimal manual effort to create and maintain, and that builds on our existing tools to incorporate all available knowledge and deliver comprehensive search results. Ideally, this data should also be pre-processed and referenced in detail to the original data sources. Additionally, minimal training was desired so that all employees could use the tool intuitively while complying with all European and internal data protection guidelines.

Implementation of the AI solution

The choice fell on TextCortex’s AI knowledge management platform, which offered the following core capabilities:

  • Unified knowledge synthesis: Integration of information from various sources, such as SharePoint, meeting transcripts, and specific online sources. This enables the rapid creation of proposals based on internal knowledge, more efficient market and competitive analysis, rapid application development through specialized workflows, and supports analytics teams in coding and data analysis.
  • Customizable applications: Employees can create their own templates and workflows that incorporate KBC’s values, specific language style, and corporate identity, and that understand the consultants’ key tasks and output formats. In addition, a wizard was implemented to speed up the onboarding of new project team members, as well as automatic metadata capture for tasks such as summarizing documents and generating keywords.
  • Robust security framework: TextCortex ensures high security standards and data protection that meet the specific requirements in Europe and Germany. A multi-level access management and security framework controls which users can view, modify, or delete specific data. The platform is fully GDPR-compliant, with all data and interactions hosted on European infrastructure within the EU. All generated responses include precise, sentence-level source attribution as well as the option for one-click access to the original source.

Results of the implementation

Over the past 18 months, the implementation of AI-powered knowledge management has led to, among other things, more efficient use of corporate knowledge, increased work efficiency, and a positive shift in corporate culture:

  • Quotes are prepared much more efficiently.
  • Significantly faster retrieval of existing information sources and documents.
  • More than 75% of KBC employees actively use the TextCortex platform on a weekly basis.
  • Employees' confidence in working with AI has improved, and the percentage of employees who are comfortable with AI has risen from 25% to 67%.

Our employees have learned to integrate AI into their daily workflows, enabling them to automate time-consuming data and knowledge-intensive tasks. This frees up more time for creative work and customer interactions, allowing them to focus more on their core competencies: developing innovative and sustainable solutions for our customers. By making optimal use of and continuously expanding our knowledge, we have been able to further improve the quality of our consulting services and thus increase the value we deliver to our clients.

Strategic Partnership and Knowledge Transfer

Based on the experience gained over the past two years and through various client projects, KBC has built up extensive expertise in integrating AI solutions into business processes. We are making these insights and best practices available not only to our own clients but also, going forward, to those of TextCortex: KBC and TextCortex have strengthened their partnership and are jointly developing further AI-based use cases by combining their expertise and capabilities.
