Optimized Knowledge Transfer: How AI is Transforming Our Consulting Practice

Consultants typically spend a large portion of their time researching and preparing information for client projects and creating proposals. Therefore, internal knowledge and data transfer is of utmost importance at KBC and contributes significantly to the quality of our consulting services. The continuous exchange of knowledge among employees is actively practiced as part of our corporate culture. This particular strength of KBC is now being further enhanced through the use of AI-supported knowledge management.

Building and maintaining a manual knowledge database was the first step in making the time and energy-intensive process of searching, collecting, and preparing information more efficient. However, due to technical limitations, among other factors, it was not possible to capture and incorporate all of KBC’s existing knowledge.

Therefore, we were looking for a secure, company-wide knowledge management solution that requires little manual effort to create and maintain, and builds on existing tooling to include all available knowledge and provide comprehensive search results. Ideally, this data should also be already prepared and referenced in detail with the original data sources. Additionally, minimal training requirements were desired so that all employees could use the tool intuitively while adhering to all European and internal data protection guidelines.

Implementation of the AI solution

The choice fell on the AI knowledge management platform from TextCortex, which provided the following core capabilities:

  • Unified Knowledge Synthesis: Integration of information from various sources such as SharePoint, meeting transcripts, and specific internet sources. This enables quick creation of proposals based on internal knowledge, more efficient conduct of market and competitive analyses, rapid application development through specialized workflows, and supports the analytics team in coding and data analysis.
  • Customized Application Possibilities: Employees can create their own templates and workflows that incorporate KBC values, specific language style, and CI, or understand the most important tasks and output formats of the consultants. Additionally, an assistant for faster onboarding of new project staff and automatic metadata capture for document summarization and keyword generation was implemented.
  • Robust Security Framework: TextCortex ensures high security standards and data protection that meet the specific requirements in Europe and Germany. A multi-level access management and security framework regulates which user can view, modify, or delete which data. The platform is fully GDPR-compliant, with all data and interactions hosted on European infrastructure within the EU. All generated answers include sentence-accurate source citations and the possibility of 1-click access to the original source.

Resultsa of the implementation

The implementation of AI-supported knowledge management has led to more efficient use of corporate knowledge, increased work efficiency, and a positive change in corporate culture over the past 18 months:

  • Proposals are created much more efficiently.
  • Significantly faster finding of existing information sources and documents.
  • Over 75% of KBC employees actively use the TextCortex platform weekly.
  • Employees’ trust in working with AI has improved, and the proportion of AI-savvy employees increased from 25% to 67%.

Employees have learned to integrate AI into their daily workflows, enabling them to automate time-intensive data and knowledge work. This leaves more time for creative tasks and customer interactions, allowing them to focus more on their core competencies: developing innovative and sustainable solutions for our clients. By optimally utilizing and continuously expanding our knowledge, we have been able to further enhance our consulting quality and thus increase the added value for our customers.

Strategic Partnership and Expertise Transfer

Based on the experiences of the last two years and various customer projects, KBC has built extensive expertise in integrating AI solutions into business processes. We are making these insights and best practices available not only to our own customers but also to those of TextCortex in the future: KBC and TextCortex have intensified their partnership and are jointly developing further AI-based use cases by bundling their expertise and competencies. The successful transformation of knowledge management at KBC serves as a reference for future implementations.
